Annual General Meeting (AGM) & Administrative Workshops
2008 Indiana Youth Soccer Annual Events Wrap-Up
Annual General Meeting
An Annual General Meeting (AGM) is held annually by US Youth Soccer, US Soccer Federation and Indiana Youth Soccer as required by their by-laws. Representatives from Indiana Youth Soccer (usually the President, Executive Director or their designate) attend the US Youth Soccer and US Soccer Federation AGM's each year. The entire membership of Indiana Youth Soccer is encouraged to attend the Indiana Youth Soccer AGM, generally held within the first 3 months of each calendar year. Each member club receives votes according to the player count of the club from the previous seasonal year. The president of each club is authorized to vote for their individual club and if that person cannot be in attendance, he may assign his vote to another member club in his district by signing an official proxy form.
Club Voting Strength is as follows:
| 0-250 players |
1 vote |
| 250-500 players |
2 votes |
| 500-750 players |
3 votes |
| 750-1000 players |
4 votes |
| over 1000 players |
5 votes |
Informational workshops are also held in conjunction with the Indiana Youth Soccer Annual General Meeting each year. These workshops are each usually 1 hour in length and the topics vary according to the needs and wants of the membership, or current discussion topics. Workshops have been held on State Cups, Recreational play, Soccer Start, registration procedures, ODP, Coaching Education, sport psychology, competitive League Play, Tournament Hosting, club and field development, health and safety issues, grants and 501(c)3 tax status preparation to list a few. Important Indiana Youth Soccer By-Law changes are also discussed in these meetings to allow the clubs more opportunities to ask questions and understand the need for the change.
The AGM weekend is always "topped off" by the Indiana Soccer Awards Dinner and Indiana Soccer Hall of Fame Induction. This banquet allows Indiana Youth Soccer to honor individual people in the membership that deserve special recognition.
Workshops
Each year, Indiana Youth Soccer sponsors a day of administrative workshops, usually coinciding with the Annual General Meeting. The day is geared towards our club's officers, administrators and coaches offering workshops that address the current topics and issues. Workshops usually last one (1) hour in length and include time for questions and answers.
The day begins with a continental breakfast followed by 3 different workshop session opportunities. Attendees are free for an hour at lunch time and then return to workshops for 2-3 more sessions in the afternoon. The day is capped off by the Indiana Youth Soccer Awards Dinner where we honor those who everyday help to create a better environment for Indiana Youth Soccer.
The highlights of the administrative workshops are sessions conducted by professionals in various related fields. In the past, we have offered sessions in the areas of: sports psychology, investigation & prevention of Child Abduction (Risk Management), facility development and online registration. Other workshop speakers have included college coaches speaking on the topic of recruitment and collegiate-level soccer and professionals from the referee community, offering licensing and assignor courses. If space is available, we have offered actual coaching clinics, youth modules and goalkeeper training. The workshops are open and free to anyone in the soccer community.
These events are held in an Indianapolis-area hotel with conference, banquet and sleeping room space. Special group rates are arranged for Indiana Youth Soccer members at the hotel. The workshops, Awards Dinner and AGM are usually held during the winter months around January or February.
Indiana Youth Soccer is always looking for suggestions on how to improve these events and for feedback about what time of year is best suited for our clubs. Generally, the winter months have proven to be the most preferred time. Please mark your calendar and plan to attend.
